Student Attendance & Conduct Policy

ATTENDANCE POLICY 

1.       The College sets attendance policy and procedures to monitor students’ attendance. 

2.  The College expects regular attendance and punctuality from all Students. The following are the attendance requirements and leave application guidelines: 

a.     Student Pass Holders should have a minimum attendance of 90% per month.

b.     Non-Student Pass Holders should have a minimum attendance of 75% per month.

c.      Any absenteeism should be supported by medical certificates/approved Student leaves.

d.   The College will notify the Immigration and Checkpoints Authority of Singapore (ICA) whenever a student holding a Student Pass has a monthly attendance below 90% or is absent for (7) consecutive days without a valid reason. 

e.     Student Pass Holders who are absent seven (7) consecutive days without a valid reason and are not contactable, the College will report to the police and cancel their Student Pass.  

3.   The College communicates the conduct and attendance policies to all Students through the Student Handbook, Orientation Program, Website, and Marketing Collaterals. 

4.     The College implements a student attendance-taking and monitoring system.

5.    The College implements timely intervention measures to help Students with poor conduct or attendance.

6.     The College evaluates the intervention measures for effectiveness and improvement. 

 

DISCIPLINARY POLICY 

1.    The College establishes disciplinary policies and procedures to handle Students with disciplinary issues, which are communicated to all students. 

2.     Students are expected to put in areasonable time, attention, and effort to engage in learning and not to misbehave badly or engage in wrongful behaviours that go contrary to the objectives for which they have been admitted into the College. Bad or wrongful behaviours may be subject to disciplinary actions. 

3.     Examples of bad or wrongful behaviours include, but are not limited to the following:   

a.     Possession/consumption of prohibited products or drugs.

b.     Vandalism.

c.      Plagiarism.

d.     Disrespectful behaviour towards teachers.

e.      Copying or cheating in tests or assessments.

f.       Physical or verbal abuse.

g.     Abuse or misuse of College furniture or equipment.

h.     Stealing.

i.       Fighting, hooliganism and extortion.

j.       Absent without a valid reason for 3 consecutive days or more.

k.      Wilful defiance of the College’s rules and regulations.

l.       Serious infringements of the laws of Singapore.

4.    The disciplinary measure(s) may be one or more of the following: 

a.     Counselling for recalcitrant offenders.

b.     A warning letter may be issued to astudent.

c.     Confiscation of items.

d.     Zero marks may be awarded for the test/examination concerned.

e.     Police and Immigration and Checkpoints Authority may be informed.

f.       Suspension and/or expulsion from the College

g.     Cancellation of Student Pass and repatriation to home country.

h.     The offender may also have to pay for damages, liabilities, or legal charges.  

 

STUDENT CONDUCT

1.   Students are expected to behave at all times in an orderly, respectful and courteous manner.

a.     Loud, foul or abusive language in College or in class is not acceptable.

b.     Science Laboratories: Students must observe the safety regulations at all times.

c.   Pantry Area: The pantry area is a place for all students to use throughout the day.Students should keep the area clean after use.

d.     No food or flavoured drinks may be consumed in the College premises.

e.     Students are not allowed to sleep in class.

f.    All facilities in the College are provided for student use. Students are expected to respect what is provided for them and not abuse or misuse.

g.    IT equipment in classrooms is provided for teachers' use and/or for students’ project presentation only.

 

IN-HOUSE SCHOOL RULES 

1.   Strictly NO LOCKING of classroom doors or playing with doors at any point of time by students. 

2.   Caps should NOT be worn inside school premises. 

3.   Students should be in school uniform at all times within school premises. They are not allowed to change into casual clothes even during breaks. 

4.   Students are liable to pay the cost of any damages caused to school property.  

5.   Use of mobile phones and other unauthorized electronic and mobile devices during curriculum time is strictly prohibited. Students are to surrender their mobile phones at the Student Service counter upon entering the school. Those spotted with a phone in class will face the following disciplinary actions: 

a.     1st offence – Confiscated by teacher, passed to Student Service Officer and returned two weeks later. 

b.   2nd offence – Confiscated by teacher, passed to Student Service Officer and returned one month later.

c.    3rd offence – Confiscated by teacher, parents/guardians informed to keep custody of phones and may result in warning letter being issued to student. 

6.   Students who arrive late for class (later than 15 minutes) will not be allowed to attend class until break time. They will be assigned to wait in a designated room to do self-study. Repeat offenders would be subject to disciplinary action and may be issued a warning letter. 

7.   Students are not allowed to sleep in class. Those who regularly sleep in class despite repeated warnings from teachers may be asked to leave the classroom and referred to the Discipline Master for disciplinary action. 

8.   Any flavored drinks brought in by the students will be immediately passed to the Student Service counter or disposed of. 

9.  Students should refrain from entering the General office unless they need help from the administrative staff. They are also not allowed entry to the Student Service Officer’s workstation behind the counter. 

 

LATE PAYMENT OF FEES

1.  If a student’s College fee is overdue for more than 15 days, BCI will deem that the student has withdrawn from the course, and BCI shall cancel the student pass.

 

RENEWAL OR LOSS OF STUDENT PASS, PASSPORT OR STUDENT ID

1.   The student is responsible to inform the College 2 weeks before his/her Student Pass expires.

2.    The student is to inform College immediately when the Student Pass / Passport / Student ID is lost.

3.   An administration charge of S$50 will be levied for services provided for the loss of Student Pass and S$10 for the loss of Student ID. These charges exclude all other fees and replacement cost which the student need to bear.

Transfer, Withdrawal & Deferment Policy

1.   The College communicates Course Transfer, Withdrawal, and Deferment policies and procedures to Students.  

2.      The policies and procedures shall include:  

a.   Maximum processing time of not more than four (4) weeks from the point of Student’s request to informing thestudent of the outcome in writing;

b.    Conditions for which a transfer or deferment application (stating the maximum deferment period) will be granted;

c.     Informing theImmigration & Checkpoints Authority of Singapore (ICA) of any change to the status of the Student Pass (STP), if applicable;

d.   Signing a new Student Contract or issuing an addendum to the existing Student Contract when a course deferment or transfer request has been approved; and

e.     Obtaining the Parent/Legal Guardian’s written consent if theStudent is under 18 years of age.  

3.      The College shall maintain up-to-date Course Transfer, Withdrawal and Deferment records. 

 

Transfer and Withdrawal

4.   The College allows Students to transfer from course A to another course B within the College with payment of the Course Transfer Fee.

5.      Should a student transfer from course A to another course B, this will be treated as a withdrawal from the original course A.  Therefore, the withdrawal policy applies. Students will be transferred to course B subject to ICA approval for a Student Pass. Upon approval, the College will cancel the current Student Pass for course A.  The College will give the Student a discount in the course B, the discount amount being not more than the unconsumed fee of course A.

6.    Should a student transfer from course A to another course B, then withdraw from course B during the 10 calendrer days cooling off period for B, the refund policy applies to both courses. For example: if a student transfers course from A to course B 30 days after course commencement, according to the refund policy applied to course A, there is a 0% refund, so the unconsumed fee for course B that was applied as a discount to the course fee for B is non-refundable. For the “top-up” portion of the fee for course B, the Student is entitled to the “Maximum Refund” amount stipulated by the college under its refund policy.

7.    A transfer to another Private College is regarded as a withdrawal from the College and the withdrawal policy will apply.

8.  For Students who withdraw because they are successful in their application to higher educational institutions funded by the Singapore Government (the polytechnics or universities) and who can show an acceptance letter, the college may consider giving a token of goodwill to student for the amount no more than the unconsumed fee.

9.   For Students who withdraw because they are successful in their admission to schools funded by the Singapore Government (government Primary or Secondary Schools) and who can show an acceptance letter, the college may consider giving Student a token of goodwill in the form of tuition, the total tuition fees should not be more than the unconsumed fee.

10.    If the Student is below 18 years of age, the Parent or Legal Guardian’s written approval (with signature) for the transfer/withdrawal will be required.

11.      The service targets for withdrawal/transfer are as follows:

a.     To complete the withdrawal process and refund school fee ( if eligible) within seven (7) working days;

b.   Maximum processing time of not more than four (4) weeks from the point of Student’s request to informing the Student of the outcome in writing;

12.   The condition for transfer to another course are the student meet the new course entrance requirement, availability of the places in the new course and approval of student pass for the new course. 

13.    Transfer and Withdrawal Policy are also available on the BCI website and Student handbook. 

14.   Prospective Students are informed of the Transfer and Withdrawal Policy during Pre-Course Counselling and the Orientation Program. 

15.    During the Orientation, Students are also informed: 

a.     If the International Student withdraws from the College, their Student Pass will be cancelled. 

b.    If the International Student transfers to another course within the College, a new Student Pass will be applied for the new course subject to ICA’s approval, and upon approval his existing Student Pass will be canceled. 

 

Deferment

16.   Although the College allows students to request deferment, but the approval is made on case by case basis, the condition for deferment are as following: 

a.     Extenuating circumstances (i.e., serious health conditions, significant caregiving responsibilities).

b.     The length of deferment not more than one year.

c.   For international students who are in Singapore on a Student Pass, deferment has implications on whether the student may even be able to complete the course. As these circumstances go beyond its control, the College discourages deferment, though exceptions can be made on a case-by-case basis. 

17.    Where a deferment is approved, the length of time of the deferment is not included in the time period for completion of the program and deadlines will be adjusted accordingly. 

18.  During the deferment, all supervisory processes are suspended. Students can neither undertake any academic or research work nor use any of the College’s facilities during the period of the leave. During the deferment, the student will be considered to have ‘inactive’ status. 

19.    No program fees or tuition fees will be charged during the deferment period.  

20.  All deferment arrangements must be discussed as early as possible with the Student Service Centre so that appropriate adjustments can be made prior to the start date of the leave.  

21.    The maximum length of a deferment is one (1) year.  

22. Maximum processing time of not more than four (4) weeks from the point of Student’s request to informing the Student of the outcome in writing;

23.   The College does not allow course extensions, where a student is given an extended period to complete a course that other students in the same course would not normally be given.

Transfer, Withdrawal & Deferment Procedures

Withdrawal Procedures 

1.   BCI’s procedure for withdrawal is as follows: 

a.     When the student intends to withdraw from acourse, the student needs to inform the Student Service Executive.

b.  TheStudent Service Executive will generate anApplication for Withdrawal Form via theSchool Management System to go through steps with student and theParent/Legal Guardian’s (If theStudent is below 18) on following:  

·       Find out the reason for withdrawing.

·       Confirm effective date of withdrawal.

·       Explain the calculation of refund amount (if eligible).

·       Explain the procedure of cancelation of student pass.

·       Guide the Student and Parent/Legal Guardian’s (If the Student is below 18) sign the form. 

c.      The Student Service Executive submit the Application of Withdrawal Form to Principal for approval.

d.     The principal signs the Application for Withdrawal Form and instruct Accountant to prepare refund (if eligible).

e.     The Student Service Executive attends to the various withdrawal matters including: 

·       Refund course fees, if any;

·       Administer the End-of-Course Student Survey;

·       Update attendance records;

·       Issue attendance records to students, if requested;

·       Cancellation of student’s pass (if applicable);

·       Generate awhite card for departure;

·       Update FPS-G Master file and FPS-G Report. 

 

Transfer Procedures

2.   The procedure for astudent to transfer to another course within the College is as follows: 

a.    When the Student intends to transfer from course A to course B within the college, the student needs to inform theStudent Service Executive.

b.   TheStudent Service Executive will generate anApplication for Course Transfer Form via theSchool Management System and go through steps with student and theParent/Legal Guardian’s (If theStudent is below 18) on following:  

·       Find out the reason for withdrawing

·       Confirm effective date of withdrawal

·    Explain the calculation of the amount of un-consumed course fee of course A which may be credited to the course B.

·       Explain the procedure of cancelation of student pass of course A and application student pass for the course B.

·       Guide the Student andParent/Legal Guardian’s (If theStudent is below 18) sign the form. 

c.     Once Principal approve, he will inform the accountant to prepare Letter of Credit Note base on the un-consumed course fee amount in the Application of Course Transfer Form

d.     Student will inform Student on the status of the Transfer and the Student Pass Application for course B

e.    The Student Service Executive will execute a new Standard PEI-Student Contract with the Student for the course B with student and Parent/Legal Guardian’s (If the Student is below 18).

f.       The Student Service Executive attends the transfer matters including: 

·       Cancel Student’s Pass for Course A and apply new student pass for Course B

·       Administer the End-of-Course Student Survey for Course A

·       Update attendance records

·       Issue attendance records to students, if requested

·       Cancellation of student’s pass (if applicable).

·       Generate awhite card for departure.

·       Update FPS-G Master file and FPS-G Report

·       Update FPS-G Master file 

3.   In the unlikely event that a student must transfer from Course A to Course B within BCI because Course A is to be phased out, a similar procedure is followed, as follows: 

a.    BCI meets the students and explains to them the reasons for phasing out Course A, and the options open to the student.  The principal follows up with a written letter to the affected students and their Parents/Legal Guardians.

b.    BCI obtains written confirmation from each student (or the Parents/Legal Guardians, if the student is below 18 yearsold) as to his agreement to take up course B.

c.     Where the Student (or the Parent/Legal Guardian, if the student is below 18 yearsold) does not wish to take up course B, the Principal will meet up with the Student/Parent/Legal Guardian to consider alternatives.  If no satisfactory alternative is agreed upon, the College will propose that the matter be resolved through the SSG Student Services Centre, using the Dispute Resolution Scheme of SSG, as indicated on C2.4.1 Feedback Management document.  Where the student has agreed to take up Course B, the Student Service Executive will attend to or oversee the various transfer matters including: 

·       Signing of the new contract or an Addendum making the agreed changes to the existing contract, as appropriate. The new contract or the addendum will indicate the fees applicable from then on, taking into consideration any unused fee for course A to be discounted from the fee for course B.

·       Cancellation of the existing student pass and application for a new pass.

·       Updating FPS-G Master file and Report. 

 

Deferment Procedures  

4.   Students who wish to defer thecourse should submit to the Student Service Executive valid reasons with supporting documents where possible, using the Deferment/Extension of Course Form. The request should include the following:  

a.     Reasons for the request;

b.     Length of deferment requested; and

c.   Pertinent documentation related to the deferment request (e.g. if a medical leave, provide a letter from a qualified health practitioner).  

5.  Requests for deferment are subject to approval by the principal.  The principal will inform the Student Service Executive of his decision. If approved, the Student Service Executive will place a special notation on the student’s record and notify the Student of the College's decision. 

6.  As indicated in C4.2.1 Student Contract, when a course deferment has been approved, an addendum to the existing contract is signed, using the Addendum to Standard PEI-Student Contract Form. 

7.   Students are to notify the Student Service Executive once they are ready to resume their studies. 

Refund Policy

BCI has adopted FPS Group Insurance (FPS-G) by Liberty Insurance to protect students’ fees and ensures that it complies with the requirement stated in SSG’s Fee Protection Scheme Instruction Manual. Admin Manager monitors and ensures that the FPS scheme is renewed when necessary and does not lapse. 

 

The College adopted refund policy in line with the is SSG's Standard PEl-Student Contract4.0, for easy reference, the policy's clause and item no are exactly follow the Standard PEl-Student Contract 4.0.

1.       The College will notify the Student in writing within three (3) working days after becoming aware of any of the following (each a “Refund Event”):

a.     It cannot commence the provision of the Course on the Course Commencement Date.

b.     It cannot complete the provision of the Course by the Course Completion Date.

c.      The Course will be terminated before the Course Completion Date.

d.     The Student does not meet the course entry or matriculation requirements as stated in Schedule A. or

e.     The Immigration & Checkpoints Authority of Singapore (the “ICA”) rejects the Student’s application for the Student Pass.

2.      Where any of the Refund Events in Clause 3.1(a) to (c) above has occurred:

a.     The College shall use reasonable efforts to make alternative study arrangements for the Student and shall propose such alternative study arrangements in writing to the Contracting Party, within ten (10) working days of informing the Contracting Party of the Refund Event.

b.     If the Contracting Party accepts such alternative study arrangements, the College shall set forth such alternative study arrangements in a written contract and this Contract shall automatically terminate on the date that such new written contract comes into effect.

c.      If the College does not propose alternative study arrangements to the Contracting Party within the time stipulated in Clause 3.2(a) above, or the Contracting Party does not accept such alternative study arrangements, the Contracting Party may forthwith terminate this Contract by way of a written notice to the College.

3.      Where any of the Refund Events in Clauses 3.1(d) to (e) has occurred, the PE shall forthwith terminate this Contract by way of a written notice to the Contracting Party.

4.     If the Contract is terminated pursuant to Clause 3.2(b) read with Clause 3.1(a), the PEI shall refund all Course Fees and Miscellaneous Fees paid by the Contracting Party within seven (7) working days of the termination.

5.     If the Contract is terminated pursuant to Clause 3.2(b) read with either Clause 3.1(b) or Clause 3.1(c), the PEI shall refund the Course Fees and Miscellaneous Fees in proportion to the uncompleted portion or duration of the Course, whichever is higher, to the Contracting Party within seven (7) working days of the termination.

6.     If the Contract is terminated pursuant to Clause 3.3 or Clause 3.2(c) read with Clause 3.1(a), the PEI shall refund all Course Fees and Miscellaneous Fees paid by the Contracting Party within seven (7) working days of the termination.

7.      If the Contract is terminated pursuant to Clause 3.2(c) read with either Clause 3.1(b) or Clause 3.1(c), the PEI shall refund the Course Fees and Miscellaneous Fees in proportion to the uncompleted portion or duration of the Course, whichever is higher, to the Contracting Party within seven (7) working days of the termination.

 

REFUND FOR WITHDRAWAL DURING THE COOLING-OFF PERIOD:

8.     Notwithstanding anything herein contained, the Contracting Party shall be entitled to, without any liability whatsoever to the PEI, forthwith terminate the Contract at any time within the Cooling-Off Period by way of a written notice to the PEI. The PEI shall return all Course Fees and Miscellaneous Fees paid to it within seven (7) working days of the receipt of the written notice.

 

REFUND FOR WITHDRAWAL OUTSIDE THE COOLING-OFF PERIOD:

9.     Without prejudice to Clauses 3.1 to 3.8 above, the Contracting Party may terminate the Contract at any time before the Course Completion Date by providing a written notice to the PEI. Upon receipt of such notice, the PEI shall within seven (7) working days, refund to the Contracting Party such amount (if any) as determined in accordance with Schedule D.

1.       BCI’s refund procedures cover the following commonly occurring situations:

a.     Refund due to Termination;

b.     Refund for Withdrawal During the Cooling-Off Period;

c.      Refund for Withdrawal Outside the Cooling-Off Period.

2.      The procedure for refund initiated by the student (due to the student’s withdrawal during / outside cooling-off period, etc.) is as follows:

a.     The student needs to inform the Student Service Executive;

b.     The Student Service Executive will generate an Application for Withdrawal Form via the School Management System to go through steps with student and the Parent/Legal Guardian’s (If the Student is below 18) on following:

·       Find out the reason for withdrawing.

·       Confirm effective date of withdrawal.

·       Explain the calculation of refund amount (if eligible).

·       Explain the procedure of cancelation of student pass (if applicable).

·       Guide the Student and Parent/Legal Guardian’s (If the Student is below 18) sign the form.

c.      The Student Service Executive submit the Application of Withdrawal Form to Principal for approval

d.     The principal signs the Application for Withdrawal Form and instruct Accountant to prepare refund (if eligible).

e.     The Student Service Executive attends to the various withdrawal matters including:

·       Refund course fees, if any.

·       Administer the End-of-Course Student Survey (if applicable).

·       Update attendance records.

·       Issue attendance records to students, if requested.

·       Cancellation of student’s pass (if applicable).

·       Generate a white card for departure.

·       Update FPS-G Master file and FPS-G Report.

3.      The procedure for refund initiated by the College (due to Termination) as follows:

a.     The Management shall use reasonable efforts to make alternative study arrangements for the student and shall propose such alternative study arrangements in writing to the Contracting Party, within ten (10) working days of informing the Contracting Party of the Refund Event.

b.     If the Contracting Party accepts such alternative study arrangements, the College shall set forth such alternative study arrangements in a written contract and this Contract shall automatically terminate on the date that such new written contract comes into effect.

c.      If the COLLEGE does not propose alternative study arrangements to the Contracting Party within the time stipulated in Clause 3.2(a) above, or the Contracting Party does not accept such alternative study arrangements, the Contracting Party may forthwith terminate this Contract by way of a written notice to the College.

d.     The Student Service Executive will generate an Application for Cancellation Form via the School Management System to go through steps with student and the Parent/Legal Guardian’s (If the Student is below 18) on following:

·       Find out the reason for withdrawing.

·       Confirm effective date of withdrawal.

·       Explain the calculation of refund amount.

·       Explain the procedure of cancelation of student pass (if applicable).

·       Guide the Student and Parent/Legal Guardian’s (If the Student is below 18) sign the form.

e.     The Student Service Executive submit the Application of Withdrawal Form to Principal for approval.

f.       The principal signs the Application for Withdrawal Form and instruct Accountant to prepare refund (if eligible).

g.     The Student Service Executive attends to the various withdrawal matters including:

·       Refund course fees.

·       Administer the End-of-Course Student Survey (if applicable).

·       Update attendance records.

·       Issue attendance records to students, if requested.

·       Cancellation of student’s pass (if applicable).

·       Generate a white card for departure.

·       Update FPS-G Master file and FPS-G Report.

4.     The Student Service Executive shall keep its refund records in SMS and hard copy. There is a payment voucher for the exact amount paid to the student attached.

5.     The Student Service Executive shall maintain a file with records for all refund cases.

Feedback / Complaints Management Procedures

1.     Feedback can be compliant or compliment, all feedback must be in writing regardless (e.g. Grievance and Complaint Form, letter) or soft copy (e.g. email, social media platform, online messaging)

2.   The Student Service Executive accepts feedback, any feedback will be forwarded to the Student Service Executive, who will:

a.     Record the feedback in the Feedback Record Form

b.     Give an acknowledgment or initial response to the person giving feedback within 3 working days.

c.      Channel the complaints to related department manager to review and take the necessary actions. 

3.      The department manager will: 

a.   For compliments, the manager will share to the manage team to drive positive experience.

b.   For complaint, He / She will investigate the feedback.

c.   Replies to the complainant after consulting with the Principal and resolving the matter within 7 working days.

d.   Gives a copy of the reply to the Student Service Executive for filing.

4.    Where the department manager is unable to obtain a satisfactory resolution, the matter is escalated to the Principal and resolved via the dispute resolution mechanism.

5.    As appropriate, the Principal discusses the feedback /complaints with the Management Team to draw learning points.  The designated staff then follows up with appropriate actions to improve operations.

6.     The Principal will assign the designated staff to establish the facts of the case.  The designated staff will decide whether the complaint is justified, and if so, offer a solution to person complainant.

7.    If the complainant accepts the solution, no further action will be pursued except to record and file the grievance and solution.

8.     If the complainant declines the solution, the complaint will be referred to the Principal who will review the case and offer a second solution. All these proceedings would be completed within 14 working days and complainants are kept informed of the status.

9.     If the complainant still refuse to accept the second solution before the maximum of 21 working days, the Principal will propose that the matter be resolved using the Dispute Resolution Scheme of the SSG, which is described on the SSG’s website.  This Dispute Resolution Scheme may, where appropriate, involve the Singapore Mediation Centre (SMC) or Singapore Institute of Arbitrators (SIArb) as the mediation centers.

10.    All feedback/complaints (including disputes) and the actions taken to resolve them are to be filed in the Feedback and Complaints Records which also provides information on the nature of the feedback and the time taken to resolve it. 

11.    The Vice Principal or designated staff analyses the feedback and uses it to identify what drives positive performance. The analysis and findings are discussed with the Management Team to draw out learning points. 

Personal Data Protection Policy

A.  GENERAL STATEMENT

1. Brentvale College undertakes, in its data management policies and practices, to observe the spirit of data protection laws, and is committed to full implementation and compliance with the requirements of the Personal Data Protection Act 2012.
2. Brentvale College may from time to time update this Data Protection Policy to ensure that it is consistent with our growth, industry trends, and/or changes in the law.

B. COLLECTION OF PERSONAL DATA

3. Brentvale College generally collects personal data through the Brentvale College's websites, application forms, surveys, and/or other channels, including but not limited to:

C. PURPOSES FOR WHICH PERSONAL DATA IS COLLECTED, USED AND DISCLOSED

4. Brentvale College will collect, use and disclose persona data only for reasonable purposes, with notification to the individual concerned where applicable. Brentvale College may collect, use and disclose any personal data provided for the following purposes, including, but not limited to:
a. Employment-related purposes (appointment administration, human resource management including payroll, leave and benefits administration, review and disciplinary matters and staff development);
b. Enrolment-related purposes (admission assessment, registration, planning of curricula, communication with student and parents, provision of references, pastoral care, meal planning, disciplinary matters, extracurricular activities and provision of healthcare services);
c. Alumni communications;
d. Conducting of statistical studies and analysis; and
e. Promotional and marketing purposes.
5. Without the consent of the individual, Brentvale College will not use the personal data for any purpose other than the purpose for which the persona data was original collected.

D. ACCURACY AND DURATION OF RETENTION OF PERSONAL DATA

6. All reasonably practicable steps will be taken to ensure that personal data held by Brentvale College is accurate, complete and kept up to data, particularly if the if personal data is to be used to make a decision that affects the individual to whom the personal data relates or likely to be disclosed by Brentvale College to another organisation.
7. Personal data shall not be retained for longer than is necessary for legal or business purposes. Brentvale College will ensure that when obsolete information is destroyed that it is done so appropriately and securely.

E. PROTECTION OF PERSONA DATA

8. All reasonably practicable steps will be taken to ensure that persona data held by Brentvale College are protected against unauthorised or accidental access, collection, use, disclosure, copying, modification, disposal or similar risks. Brentvale College will ensure that clear and robust safeguards are in place to protect personal data, irrespective of the format in which it is recorded.

F. TRANSFER OF PERSONAL DATA

9. Personal data will not be transferred to a country or territory outside Singapore unless that country or territory ensures a comparable level of data protection, in accordance with the requirements prescribed under the Personal Data Protection Act 2012.

G. ACCESS AND CORRECTION

10. An individual has the right to make a request to access and/or correct the personal data held about them by Brentvale College. The individual will be notified of the outcome as soon as reasonably practicable, and will be given a reason if a request is refused.

Appeal Policy

The appeal process must be fair, without compromising the integrity of the assessment process. You, or your external academic partner, must allow at least seven working days from the release of assessment results for students to submit an appeal for results/awards and to release appeal results within a reasonable time from the date of appeal.

Students who have not passed their modules may submit an appeal for review of results through the Student Service Executive giving their reasons. This appeal must be submitted within 1 week of the release of exam results, together with payment of the required fee. The Student Service Executive passes the Appeal Form to the Admin Manager, who obtains the response from the teacher/marker on the merit of the appeal. They then submit the appeals with the teacher’s response to the Exam Boad for decision.

The Admin Manager updates the decisions of the Exam Board in the school management system and informs students of the outcome of their appeal.

The college works within the following timelines for processing and release of the final exam and appeal results:

a.     Release of final exam results - within 4 weeks after completion of the final paper of the examination.

b.     Release of appeal results - within 4 weeks from the official date of release of the exam results (or 3 weeks from the close of the appeal period).

The college returns the exam scripts to students after 4 weeks or more from the official date of release of the exam results.

A student whose appeal is unsuccessful may apply to the college to take a re-test with payment of a re-test fee. This application must be submitted within 1 week of the release of the appeal results. If the student fail the re-test, he must either repeat the module or take a new module in order to accumulate the required number of passed modules for graduation.

Relevant Singapore laws especially those relating to ICA and Ministry of Manpower need to be noted and observed. This includes, but is not limited to, immigration requirements, laws on driving, drug and alcohol abuse, employment, smoking, traffic, and littering.

Immigration - All international students studying in Singapore must have a valid passport and a Student Pass from the ICA (Immigration and Checkpoint Authority).

Employment - International students are not allowed to work in Singapore.

Driving - All drivers must have a valid Singapore driving license and the vehicle must be insured.

Drugs - Possession of controlled drugs is presumed to be for trafficking, an offence that can carry the death penalty.

Alcohol Abuse - Any offense committed while being intoxicated (drunk) is punishable under the law. Drunk driving is a serious offence.

Smoking - Smoking in specific public places and indoor restaurants is prohibited.

Traffic - Jaywalking is an offence.

Littering - Littering, spitting, and vandalism (with graffiti) in public areas is a serious offence.

Vandalism - Under the Vandalism Act of Singapore, it is an offence to commit any act of vandalism to public and private property without the property owner's written consent.
